As a co-op student, Work Learn, or volunteer, you are expected to:

  • Check your email at least once a day.
  • Tell us if your email address changes, or if we have been sending email to the wrong address.
  • Tell us if you cannot access email/Teams/Trello/Clockify/Figma/Canva/Workday/Confluence or any of the other software you and your team use.
  • Check your Teams messages at least once a day.
  • Only use Teams for shorter discussions. If it can be an email or a Trello thread, that is a better option.
  • Keep meeting minutes and/or follow up after your team meeting or conversation on Teams with a summary of what was discussed.
  • Use Trello to track your project tasks.
  • Track your project hours in Clockify.
  • Tell the lab coordinator (emergingmedia.lab@ubc.ca) and your project team if you can't make it to a meeting, even if it's a recurring meeting that you don't usually attend.
  • Book your time in one of the EML labs using LibCal: https://libcal.library.ubc.ca/reserve/eml
  • Tell us as far ahead of time as possible when you will have your exams/holidays/etc.
  • Participate in some way to the end-of-semester Showcase event.
  • Help your team create a project poster and presentation for the Showcase.
  • Provide the lab coordinator (emergingmedia.lab@ubc.ca) and EML Marketing and Communications team with up-to-date screenshots, photos, and links to any videos or demos so that we can promote it.
  • Keep your project's page on https://wiki.ubc.ca up to date.
  • Work Learns and Co-ops: come to your weekly one-on-one meeting with the Lab Supervisor.
  • Team leads: fill out your team's weekly project update by noon on Fridays.
  • Give your team lead your weekly journal update for your project by Friday morning.
  • Tell us if something on the website needs updating.
  • Tell us if something breaks or is missing, don't worry, you're not in trouble, you should just let us know immediately. Did you spill water in a keyboard? We have lots of keyboards and we won't be mad.
  • Keep the physical lab space tidy. If there's a mess, let us know, or tidy it yourself.
  • If you run into technical trouble, ask someone for help. This can be someone on your team, or a member of EML staff. Don't spend 10 hours trying to figure out something when you could ask someone in 5 minutes.
  • Tell us if there is an issue on your team.
  • Tell us if there is a problem with your computer, or a computer in the lab space.
  • Tell us if your workload is too much, if you need time off, or need advice. You can reach out to any member of staff that you're comfortable speaking with.
  • Above all else: focus on your family, school, and health before EML.
