Privacy Policy

To comply with UBC’s privacy policy as well as Canadian and BC privacy law:

  • For EML communications, use your UBC email, not an email address on a server outside Canada.
  • Never post or say anyone’s personal information or EML confidential information on Slack, Trello, GitHub, Clockify, Google Docs, Google Calendar, etc. Only use systems at UBC for this kind of information.
  • Only post or save confidential or private information to TeamShare or using your UBC email address.
  • How do you know if something is personal information? Ask the Lab Supervisor.

Do not use cloud services

As a rule, you are not allowed to use cloud services like Google Drive at EML, due to FIPPA. If there is software you would like to use that has not been listed here, please contact us immediately.

There are certain projects which have been authorized to use cloud services outside UBC, but outside of those vetted cases, we don't use them. If a project wants to use a cloud service or external website, you must ask EML staff before doing so. This is both for privacy reasons, and because we may already have special access, qualify for credits or discounts, or have additional information on using it.

Authorizing other tools

Even if a given application isn't hosted on the web, please make sure what software you do use is approved in email by an EML staff member.

Q: Why can't we just use whatever tool?

A: For example, if you're in UBC Applied Science, you can get a free license for Solidworks. But then nobody else outside Engineering can open your files after you leave. Likewise, if you'd like to use Sketch on your Mac to draw UI graphics, someone without Sketch can't use it. (In these cases, Blender and Figma might be better options respectively.)
