Work Learns: EML should be considered to be like any other workplace: you are a paid employee, with the expectations and responsibilities that entails.

Mandatory meetings for Work Learns

There are several recurring meetings that you are expected to attend.

  1. Weekly EML team meeting
  2. Work Learns have a weekly check-in meeting with the Emerging Media Lab Supervisor.
  3. Your project team check-in (if you're assigned to a project.)

These meetings are scheduled on the same day and same time each day. Make sure you know when these meetings are and that you attend. If the time or date of these meetings change, we will update the meeting invitation and send out an announcement to the team. If that happens, remember to ensure the meeting is updated in your calendar.

If you show up for a meeting and no one else comes for 5 minutes, contact the EML Supervisor and EML Coordinator to make sure you have the correct meeting link or location.

What happens if you can't make a meeting?

Family, medical, and school should come first. However, unless you're unavoidably detained, you must email the person running the meeting to tell them you can't make it. If it's a check-in with the EML Supervisor, email them. If it's the weekly check-in meeting, email the EML Coordinator and EML Supervisor. If you're running the meeting and it can't happen without you, email all the attendees and tell them you need to reschedule.

Remember: if you're overworked, please tell us immediately so we can work around it.

How to schedule meetings

At EML, you will often have to schedule meetings with EML staff, other student workers, and your PI. It's best practice to schedule video meetings through Microsoft Teams. (Not Webmail!) This is because it will include a Teams video chat link. (If your team is meeting on Zoom--perhaps your PI prefers it--then you can send the invite the normal way via webmail, just include the Zoom invite info when you do.)

When2Meet/Doodle

When2Meet and Doodle are services that allow you and your teammates to indicate on a calendar what times they are available. We often use When2Meet when scheduling EML Socials.

You may use When2Meet only when finding a time for a meeting with multiple people.

Only use When2Meet when scheduling a meeting with EML staff, student workers, or volunteers.

Do not send a When2Meet invite to your faculty member or people outside of EML. If you need to schedule a meeting with your faculty member, you may use When2Meet to quickly find three or four times that work for all your team members, then send your faculty member an email asking if they are available at any of those times. (The exception to this is if you are currently in a call with your faculty member, where you all have your calendars open, or if your faculty member has already told you they are free any time Friday. Then you can just go ahead and send them an invite once you have a time that works for the rest of your team.)

If you need to schedule a meeting with someone outside of EML, talk to the Lab Supervisor or Lab Coordinator first.
