At EML, we use UBC's instance of Microsoft Teams for our persistent chat communication. Use Teams when you need a quick answer to something that doesn't need a formal email.

About Teams:

  • Microsoft Teams is the main communications platform for the EML staff and student team.
    • PIs and Faculty in Residence have also been invited. They may not actually use it, so be sure to invite them to meetings using Zoom.
    • Former EML members should be invited to the EML Slack, where our alumni can hang out. (https://ubc-eml.slack.com
  • Separate channels have been created for each project. These need to be (not accessible to the entire team) and are managed by the project leads. The EML Supervisor, EML Coordinator, and EML Executive Producer must be made channel owners.
  • Important reminder: Due to challenges with UBC emails, many EML student workers have been added onto Teams using their personal email addresses. This means meeting invites will not show up in the Outlook calendar on your UBC mailbox.

How to make sure you're getting notifications from Teams:

  1. Log in to Teams.
  2. Click your circular avatar/photo in the upper right corner of the Teams screen.
  3. Select "Settings".
  4. Select "Notifications".
  5. Make sure "Missed activity emails" isn't disabled. "Once every hour" is a reasonable setting.


Important: Teams chat is only stored on the server for 30 days. After that, it will be automatically deleted. When your team makes decisions in chat, or on video, it's important to send all parties a follow-up email summarizing the meeting and the decision made, as well as who will be doing it. That way, you all have a permanent record. It can be very short, like: "Hi everyone, just following up; as we discussed, you agreed to give me access to GitHub."
