Documentation:Botany Departmental Print Services

From UBC Wiki

Changes since Feb 2017

  • This Print Services is now a shared service between Botany and Zoology;
  • We now have four Ricoh multi-functional printers located at four locations: outside of Botany office in Bio-Science, Zoology mail room in Bio-Science, Biology office in COPP, and room 220A in WesBrook;
  • User management and access control are now through the PaperCut MF software;

Strategic Goals

  • To deliver cost savings and productivity improvements directly to Botany users and associate members;
  • To reduce the overall energy consumption and carbon footprint by phasing out private desktop printers.

Cost recovery formula

The instruction from Botany Administrative Director for print services cost recovery is that we should be revenue neutral. So we decide to only transfer the bare cost to the end users. There are three parts in the monthly cost of print services:

  • Equipment rental cost for the multi-functional pritners;
  • charge per page by Xerox;
  • paper cost;

Base on numbers from 2011 fiscal year, our monthly print volume (including photo copy) is around 13,000 pages.Dividing our mostly cost by the monthly print volume, We decide to charge 7 cents for each black/white printout and 12 cents for each color printout. We will review the price each year to make sure the end user will enjoy the best price. Keep in mind that when the monthly volume increases, the cost per page will decrease, which mean if more users choose to use the departmental print service, and give up their desktop printers, we can provide better price to our users.

Note:

  • Scan to email service is free.
  • Botany IT is not responsible for setting the price for Fax service. Please contact Botany main office for detail price for Fax service.
