Version Control

The need to amend and change the project charter will inevitably be present. These changes should be well communicated between all project stakeholders and documented with a version control chart. An example version control chart follows.

Version Author Role Changes Date
2.0 e.g. Changed Due Date of Early Findings Report
1.0 e.g. Initial version

Project Background (__ / 10)

Describe the reason/information/strategy/feasibility study/regulation that led to this project being created.  The problem/opportunity should have a tie to your community partner and their personal / organizational strategy, goals and/or objectives. Describe in high-level terms and include information relevant to your research question.

Little Mountain-Riley Park Neighbourhood Food Network (NFN): is funded by the City of Vancouver and works as a platform for the organization to inform community partners of food-related events, assets and initiatives such as community kitchens, gardens, low cost and free meals, food workshops, farmers markets, food secure businesses and restaurants present in the neighbourhood. To reach this goal, there are a number of events taking place on a regular basis including: potlucks, accompanying discussions to share ideas about food activities in the area. Affordable Community Dinner Nights, programs with the purpose of integration of newcomers; as well as Small Grants offered to community-based initiatives by the Vancouver Foundation.

Stakeholder Summary (__ /5)

List and describe the responsibilities of the student team, community partner(s), and other key stakeholder groups and their associated teams and roles.

Name, Role & Organization Responsibilities
Student Team Members For example…
  • Lead all project phases
  • Create project documents
  • Lead and manage project team for all phases of project
  • Document Management (location, updates)

  • Lessons Learned
Community Partner For example…

  • Provide connections and linkages with community
  • Sign off Charter and Plan
  • Sign off on changes to Charter or Plan

Purpose and Research Question (__ / 20)

The project purpose should only be a few sentences to ensure it is clear. What is the project meant to achieve: what issue will it address? What opportunity will it leverage? This section will often contain a sentence clearly articulating what the goal of the study is.

What is your main question? State the research question(s) as a question (i.e. ending with a question mark).

Methods (__ / 20)

How will you conduct your research?

  • Data collection?
  • Analysis?

You should briefly mention advantages and disadvantage of the selected research method. Also note any proposed key sources of information you will use, ethical responsibilities towards your community that you will consider, other team responsibilities, and any other resources needed.

Deliverables (__ / 5)

For example: The final report will follow a certain template, have the following x, y, z features embedded within, and addresses the issue in such and such a manner. Deliverables may also contain other items such as weekly status reports, interim reports or presentations.

Success Factors/Criteria (__ / 10)

Following the conclusion of our project, we will use several indicators to measure the success of our project. The initial indicator will be the approval of the accuracy and content of our findings from our stakeholders. Secondly, we hope that our findings will be used in further narratives, such as having the UBC Farm systems model adopted by the Centre for Sustainable Food Systems. Lastly, we would like to determine how useful this project will be for our stakeholders in terms of connecting them with other stakeholders in the food system, and analyzing how change is felt among the different facets of the Vancouver foodshed.

Scope Change

Scope changes requested by any stakeholder of the project must be agreed upon, approved and signed by all stakeholders. The agreed format is to revise this charter with version controls. Because this is critical to keep track of, the version control is displayed at the beginning of the charter.
