Agenda Item Summary Action
1. Updates from Trish:

a. Previous meeting’s action items

Trish asked Paul for update on our plan to have LIBS workshops fed into the Library homepage under a new tab to be labelled “workshops.” Paul reported that LIBS cannot provide separate feeds based on tags so other suggestions were discussed. Ultimately Aleteia suggested and the group agreed to ask Paul to change the “Events” tab to read “Workshops & Events.” Paul to amend tab to read “Workshops & Events” from “Events”
b. Usability Testing Trish also asked Paul to update the group on the plan to include librarians in future usability testing of new link resolver. Paul reported that it would be best to do this after we have fully transitioned to 360 link. Planning for usability project to begin in March as transition to 360 link finishes up.
c. iClicker/lab technology update iClickers and receivers have arrived. Trish will distribute these around the system and figure out a training plan over the next few weeks. Training will likely be scheduled after term ends. Technical installations will also be scheduled after term ends. Where labs are kept locked, iClickers will be left in the lab. Where labs are open to the public, Trish will liaise with local units to work out best secure place to store them. Trish to distribute iClickers, and arrange training after term ends.
d. Online Teaching Lab Katherine Miller reported that a planning group has formed and is meeting this week for the first time.

Feedback on Instructional Spaces

Julie Mitchell reported that she has gotten a bit of feedback – mostly related to need for big first year teaching spaces. Another suggestion was for a wireless keyboard. The group added some feedback: branch laptops are in some cases very old, i.e., 7+ years old and need to be updated. Other suggestions included need for tools like webcams, headphones with mics, and so forth

Anyone with other feedback on this issue should contact Julie asap.

Screencasting Contest Update

Sadly zero entries were received. Lindsay, Katherine and Trish met earlier this week to discuss new strategies. Likely a victim of timing so decided to regroup and re-pitch the contest after term ends.
UBCO librarians are using Captivate for their screencasts

Re-work contest at a better time of year.

Value of Library Instruction program

Trish was asked by Ingrid to prepare a report outlining the value of Library instruction that she can use as part of her presentation at the upcoming Dean’s retreat. Trish has prepared a presentation in Google Docs that looks at teaching across disciplines and includes testimonials from instructors as well as students.

Library Carousel Items

Jo-Anne suggested that March items be related to Celebrate Research week. There are Library workshops each day during the week and these should be mentioned in the Carousel.

Trish agreed that it’s ok to cc her on carousel items but does not need to vet each entry in advance. The group agreed to continue to discuss/agree on future carousel items at the monthly TLAC meetings.

Lindsay mentioned that she has added a page to the TLAC wiki for us to deposit the text/graphics of submitted carousel items for re-use. Lindsay will also add guidelines for creating and submitting library carousel items to this page.

UBCO does not yet have a carousel on its homepage but will get one when website is redesigned in the near future. In the meantime, they will be setting up a Celebrate Research week display in the library.

Trish will contact Glenn with full roster of Celebrate Research Week workshops for promotion on Library Carousel in March.

Help Site Working group report

Shawnna reported that group is focused on Undergraduate, Graduate and Faculty guides. The group is still working on these guides - suggestions for content in these guides is welcome. Once guides have been thoroughly revised and moved into UBC Wiki they will be presented more formally at TLAC and then go live.


Group suggested that Faculty guide retain information about course reserves.


Shawnna to add information about course reserves back into faculty guide.

Summon Feedback

Trish asked the group how Summon teaching has been going. For those who have taught Summon in classes the feedback was generally positive: very fast, convenient tool at busy ref desk, students & profs seem to like it etc. Some issues: all the limiters can slow the pace of a class down; mid-term launch means that some courses like CAP / Engl 112 have to re-write scripts or at least introduce Summon mid-stream.

Instruction Stats Pilot

Trish asked for feedback on new fields in desktracker related to instruction. Generally going ok – autofill makes the process easier. Trish is compiling a running list of feedback.

Upcoming ACRL webcasts

Trish mentioned some great ACRL webcasts coming up and asked if the group thought these were worthwhile. Consensus was yes, very worthwhile but registration for group events like this time consuming. It was suggested that we explore possibility of having HR support for events like these relating to registration and set up.

Trish to contact HR to see if they could handle registration for webcasts on behalf of Library staff.

Lillooet Room: Julie

The Lillooet room has been put back into the Library room booking system so that library staff are able to book the space themselves. As usual, preference is for the Dodson and Lillooet Rooms spaces to be booked for workshops and events that are open to UBC students, staff and faculty.

Citation Support/ Refworks Support

Julie reported that in providing support to graduate students for Thesis Formatting in Microsoft Word at the Chapman Learning Commons Help Desk, the team is also receiving many requests for support with citations and Refworks that they are unable to assist with. Group reported that requests of this nature are common at public service points at other branches.

Group agreed that there needs to be a consistent approach to supporting citation help / Refwork help requests. Strong recommendation to direct such requests from Grad students to appropriate subject librarian.

Julie also mentioned the overwhelming popularity of a workshop her team runs to provide technical support for thesis formatting in MS Word. The workshop is always full and it is challening to keep up with demand.

Suggestions from group: this might be a good candidate for a TLEF with the Writing Centre and/or the Grad Centre

Julie will meet with Ellen G. & Teresa L. to get their feedback and then will take this issue to PSC
