FAQ For Monitoring IKBLC’s Doors
These are common questions that patrons ask, which you may encounter at the door.

Entering the building
Can I enter without signing up?
- Starting July 12, patrons do not need to register to enter the general space. They do, however, need to book study rooms.
- Patrons still must check in at the front door to complete the covid self-assessment and receive a wristband.
- Patrons may not let others into the building.
Why won’t it let me book a study room?!
- There could be several reasons for this. Common issues include: they did not click ‘submit’ on their booking, the individual is an alumni/community member, they have exceeded their maximum number of bookings for the week (5), they left the booking form open too long and someone else booked the same seat, or there could be an issue with their CWL.
- These sorts of issues all require different responses, but in general as long as the patron is an active student, there should be no issues with the booking system itself.
Can I still come in? I forgot my UBC Card.
- Long story short: yes! First, ask if they have another current, picture ID that validates their name.
- If they have no ID and have booked a study room, ask if they can show you their confirmation email. Pay attention to the name at the top of the email, and make sure that they are showing you an actual email and not a screenshot of one.
- Finally, if they have none of these things- ask if they can give you a student number, or if they remember which room they booked, or some other information about the booking which demonstrates that they are the person who actually made it. Compare this information against the booking info you have and use your best judgment. If unclear, ask a staff member.
- Only turn people away if it is clear that they do not have a booking.
Can I bring my friends in with me?
- While each person has to register/enter separately, folks are welcome to study together so long as they are not congregating in shared spaces per current health guidelines.
Where is my assigned seat?
- For now, patrons can choose to sit in any of the seats in the building. All we ask is that they don't move furniture or chairs. Chairs will be added through the summer to increase capacity.
COVID Precautions
Do I have to wear a mask?
- We follow provincial guidelines. Currently (as of July 2) masks are recommended. Booking a study room is a good solution for students, faculty, and staff who prefer a private space.
I lost my wristband, can I have a new one?
- No. They should be wearing it already, and if you give them 2, they could give one away to friend. Note that their wristband must be visible on their wrist at all times within the building.
- If the patron needs to leave and come back, tell them that they will have to present their ID again when they return.
What safety and cleaning protocols are in place?
- We will provide supplies for sanitizing shared surfaces such as desks, chairs, and computer equipment between uses. Custodial teams also routinely clean areas throughout the day, such as our study rooms.
- Additionally, we have also implemented a number of measures in IKBLC to ensure physical distancing, including signage, floor markings to designate lineups, and removal of seating and equipment.
Why is access limited to certain areas?
- In addition to managing physical distancing guidelines, limiting access to select spaces enables custodial staff to regularly sanitize high-touch areas, including washrooms and stair rails.
Can I study with my friends?
- So long as you adhere to the signage and furniture layout in our study areas and avoid congregating in shared areas or in large groups.
Am I allowed food and drink in the building?
- You are allowed to bring your own food and drink into the building. There are some vending machines available, and water fountains as well. You are welcome to enter and leave for food, and come back throughout the day.
Building Services
Where do I find or access computers, or a computer lab, in the building?
- Level 2: We have PC computers available for patrons to use.
- Level 3: We have PC and Mac computers available for use.
Can I book, or access, a group study room?
- There are study rooms available on Level 2 with a maximum occupancy of 2 individuals.
Where can I find quiet study space?
- The following areas are open for use:
- Level 1: Entrance by the west mall 4 small
- Level 2: computers; main spaces, independent study rooms (Ike’s Café is not open at this time)
- Level 3: computers (heritage core); main spaces (Science/Arts 1 is not open)
- Level 4: Nass Reading Room (459); Musqueam Room (455), main spaces
Can I use the computers and print/scan inside IKBLC?
- Yes! Computers and printers/scanners are available for your use on the 2nd and 3rd floors of IKBLC. You will be provided with materials to sanitize the computers before and after use, and staff will frequently sanitize the printers/scanners.
- We will have staff available to assist you with computers, printing, and scanning from a 2 meter distance from 10:00am to 6:00pm Monday to Friday as well as 11:00am to 3:00pm Saturday, at the Chapman Learning Commons Help Desk.
Can I use the piano in the MAA Library or in the Learning Commons?
- No (even if you bring your own headphones), because this is a high-touch item that we would not be able to ensure adequate sanitization on.
- We are not lending headphones or any equipment at this time.
Library Services
Where can I pick up my books that I have requested?

What are the Library hours?
Who can I speak to about my fines?
- Remind the patron that most fines are being forgiven by UBC library due to the pandemic.
- Tell the patron that they will need to fill out the UBC Library Fines Appeal form. They can find this easily by googling the name (its one of the first results)
- If the patron says that the problem is urgent, and that they would like to speak to a librarian- gently inform them that there are no librarians on duty in this building
- If necessary, you can call either Emma or Alex for backup.
Where can I return my books?
- BOOK Drop- 1) Outside of the building (on left from our desk, where folks line up to enter, between two benches, about 100 ft away) or outside Koerner library. If patron says they have delicate materials, ask them to book a study spot and say they can drop it off on the 3rd floor near the CLC desk.
Can I browse the collection?
- No. All library stacks are closed at the moment. To get a physical book, patrons must use the online version of the catalogue to search/browse- and then request the desired item. The book will then be sent to Koerner for pick-up.
- Remind the patron that books are only ready for pick-up when the individual has received an email telling them that the item is ready.
Why can’t I choose my own books from the MAA Library in IKBLC?
- Public health guidelines require that library materials are quarantined for 72 hours after they have been handled, to protect the health and safety of library users and staff. Areas housing collections are currently restricted to staff only.
How can I get research help?
- You can use our chat service, AskAway. The chat service is staffed by UBC Library, but at peak service times or off-hours, you may be connected with a librarian from another academic library.
- Subject librarians with expertise in specific subject areas are available to UBC students and instructors for consultations. Once you identify a librarian, you can schedule an appointment with them via email.
Can I borrow a laptop charger or other equipment?
