Documentation:Kaltura Migration Preparation Instructions

From UBC Wiki

Preparing your videos for migration

Kaltura's Edit Entry Screen

Log in to your existing pilot KMC account at: http://kmc.kaltura.com/index.php/kmc

Many account usernames are formatted like ubc##@projects.kaltura.com. Some users have accounts with a personalized email address.

Navigate to your videos (listed under the ‘Content’ tab) and click on each entry to edit it. You may want to improve titles, descriptions, and tags. Doing so may help you locate videos in the new environments.

Part I

Next, fill in the three migrate information fields for each video:

Migration Fields

Migrate?

Migrated videos will be copied to UBC servers. Non-migrated videos will eventually be deleted.

  • Choose ‘Yes’ to keep the video and migrate it to UBC’s Enterprise Video Platform.
  • Choose ‘No’ if you do not wish to keep the video - it will be eventually deleted

Assign to which CWL account?

Enter a CWL username. This user will have access to this video once migrated.

Only one CWL account can be entered. This user will be required to sign off on copyright and update existing embed code with new UBC embed code.

Migrate to?

Migrated videos will be available in the selected target environment.

Sample of completed migration fields
  • Connect
    • Select 'Connect' for videos that are currently embedded in Connect.
    • These videos will be accessible by the assigned CWL user via the 'My Media' module in Connect.
    • Videos can be shared in Connect in one of two ways:
      • From ‘My Media’, videos can be put into ‘Courses Galleries’ (for members of that course) or ‘Faculty Repository’ (for all users of Connect).
      • Videos can be embedded throughout Connect via the HTML WYSIWYG editor's Mashups tool.
  • MediaSpace
    • Select MediaSpace for videos not embedded in Connect.
    • Videos that require embed code that functions outside of Connect should choose this environment.
    • If a video is hosted both in Connect and outside of Connect, choose MediaSpace as the target environment.
  • CLAS
  • First Nations Study Program
    • Select First Nations Study Program if your video is related to the First Nations Study Program

Part II

'License, Consent and Waiver Form for Video Migration to Kaltura' Form

Once these fields are completed (by users with access to the KMC), each assigned CWL user must agree to the 'License, Consent and Waiver Form for Video Migration to Enterprise Video Platform' form.

It can be downloaded here: License, Consent and Waiver Form for Video Migration to Kaltura.

This form only needs to be signed once per CWL user, regardless of the number of videos associated with that account. Signed forms can be scanned and emailed to joe.zerdin@ubc.ca or delivered to CTLT at the Irving K. Barber Learning Centre, Room 102 - Map.

Other

Things to note:

  • Only videos that are flagged for migration will be kept. Videos that are left unflagged or flagged as do not migrate will be removed.
  • A video can only be assigned to one CWL user.
  • Migrated videos will include the existing title, description, and tags, but will not preserve any categories, playlists, or custom players.
  • In Connect, users can submit videos from their 'My Media' module to a 'Course Gallery' or 'Faculty Repository' - this is how users would shared videos besides embedding them via the Mashups tool.

And here are the possible challenges that you may encounter.

  • Determining where videos are currently embedded
  • Updating embed code that used a custom player with different player dimensions - custom players will not be available
  • Playlists
    • Playlists are no longer available. You can recreate playlist functionality using the built in Connect tools.
