Information and Display booths in the Level 2 main concourse of the Irving K. Barber Learning Centre may be reserved by UBC organizations and departments to promote learning-related activities and opportunities. Our vision is to highlight learning support programs and services that engage with and enhance students’ academic success and wellness. We welcome requests and encourage partnerships with UBC departments and affiliated groups and initiatives. Please note that we cannot host UBC clubs.

We offer space for a single information/display booth as well as larger foyer space for events. One table and one chair may be reserved for the single booth in a pre-determined location of the concourse, Mondays to Fridays, 9:00 am - 4:00 pm (see map). For foyer events, table rentals are the organizer's responsibility. Space usage outside of these hours may be accommodated, only with prior approval.

Guidelines and Criteria

  • Information booth and foyer requests are subject to approval and availability.
  • We cannot book more than 4 months in advance and require the receipt of booking requests at least 5 business days in advance of the booth date or at least 4 weeks in advance of the foyer booking date.
  • IKBLC reserves the right to decline requests that:
    • Do not fit our mandate
    • Are commercial in nature and/or involve the solicitation of funds or membership
    • May disrupt Library operations
    • Generate security or safety concerns for the building and its patrons
  • For health and safety reasons, the distribution of beverages, baked goods, or other open food is not permitted. Single serving packaged food, such as granola bars and tea bags, are acceptable.
  • Booth location as well as the pick up and return of furniture are to be coordinated with the Program Services Assistant, IKBLC and/or Program Assistant, Chapman Learning Commons.
  • Posters and banners are not to be attached to any part of the building and will be removed immediately; groups may be charged for any resulting damage to the building interior.
  • Standing sign holders for promotional material are available for borrowing upon request, subject to availability (please indicate this in your request).
  • Advanced promotion of your booth on digital signage screens in IKBLC may be arranged with the Program Assistant (please indicate this in your request).
  • IKBLC does not have any provisions for the storage of display materials.

Cancellations

  • In the event the booth or foyer booking has to be cancelled by the organizer, please notify ikblc.bookings@ubc.ca as soon as possible.
  • IKBLC reserves the right to cancel booths if:
    • Booth representatives do not show up for their table within 15 minutes of the requested time
    • Booth representatives who do not show up for their scheduled booth on more than one occasion
